Privacy Notice
This notice explains how your personal data is handled when you use Nestic Clean (a.k.a. Städkollen) ("the Service") to document the move-out cleaning of your apartment. The conditions for using the form are set out separately in the Terms of Use.
Please read this notice before submitting your email address and photos.
1. Who is responsible for your personal data
Controller: Your property owner is the data controller and decides why and how your personal data is processed in connection with the move-out cleaning inspection. For the contact details of your specific property owner, please refer to your lease agreement or contact them directly.
Processor: Future Memories AB, Reg. No. 556956-8008, Hossabergsvägen 64, 433 52 Öjersjö, Sweden ("FM"), provides the Service on behalf of the property owner. FM processes your personal data only on documented instructions from the property owner.

2. What personal data we process
In connection with the move-out cleaning inspection, the following personal data is processed
Your email address
The apartment identifier (provided by you or pre-filled by your property owner)
Photos of the apartment uploaded by you
Technical data such as IP address, user agent, and timestamps generated when you use the form
The result of the AI-assisted inspection, including any notes or rejection reasons
Providing this data is required to use the Service. If you do not provide it, the move-out cleaning cannot be verified through the Service, which may have consequences under your lease agreement with your property owner.
3. Why we process your personal data
Your personal data is processed for the following purposes:
To verify that the move-out cleaning of your apartment has been performed to the standard required by your property owner
To send you a secure access link (magic link) so you can complete and review your submission
To communicate with you regarding the inspection result, including notifications if photos are rejected and need to be resubmitted
To document the inspection for your property owner, who may use it in the event of a dispute regarding the move-out
To maintain technical logs for security, troubleshooting, and operational purposes
Your email address and photos are used solely for the purposes above. They are not used for marketing.
4. Legal basis for processing
The legal basis for processing your personal data is determined by your property owner as the data controller. The processing is typically based on:
Performance of a contract (Article 6(1)(b) GDPR), specifically the performance of obligations under your lease agreement, including any obligations relating to the cleaning of the apartment upon move-out, or
Legitimate interests (Article 6(1)(f) GDPR) of your property owner in efficiently and consistently verifying the cleaning standard of vacated apartments
For technical logs maintained by FM for security and operational purposes, the legal basis is FM's legitimate interest under Article 6(1)(f) GDPR in ensuring the security and proper functioning of the service, in accordance with Recital 49 GDPR.
5. Recipients of your personal data
Your personal data is shared with:
Your property owner, who receives the inspection result and the photos you uploaded
FM's sub-processors, who process your personal data on FM's behalf to deliver the service. A current list of sub-processors, including their function, location, and applicable transfer mechanism, is available at https://nestic.ai/legal
FM does not sell your personal data and does not share it for marketing purposes.
6. Where your personal data is processed
Your personal data is primarily processed within the EU/EEA, including the AI-assisted analysis of your cleaning photos.
Some of FM's sub-processors are hosted within the EU/EEA but belong to international groups. Limited access from outside the EU/EEA may occur for support, monitoring, or email delivery purposes. Where this happens, the transfer is protected by appropriate safeguards, such as EU Standard Contractual Clauses. 7. How long your personal data is kept
The retention period for your personal data is determined by your property owner as the data controller, in accordance with their data protection policy. As a general principle, personal data is retained for the duration of the property owner's subscription to the Service, unless the property owner instructs FM otherwise.
For specific information about how long your personal data will be retained in connection with your tenancy, please contact your property owner.
Technical logs maintained by FM (including IP address and user agent) are retained for up to thirty (30) days for security and operational purposes.
8. Your rights
Under the GDPR, you have the following rights regarding your personal data:
Right of access: to obtain confirmation of whether your personal data is being processed and to receive a copy of that data
Right to rectification: to have inaccurate personal data corrected
Right to erasure: to have your personal data deleted under certain circumstances
Right to restriction: to have processing restricted under certain circumstances
Right to object: to object to processing based on legitimate interests
Right to data portability: to receive your personal data in a structured, commonly used format
To exercise these rights, please contact your property owner as the data controller. You may also contact FM at privacy@nestic.ai, and FM will assist your property owner in responding to your request.
You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection (Integritetsskyddsmyndigheten, IMY, https://www.imy.se) or with the supervisory authority in your country of residence.
9. Automated processing and human review
Cleaning photos are analyzed using artificial intelligence to assist your property owner in evaluating the move-out cleaning. The AI-assisted result is not a fully automated decision in the sense of Article 22 GDPR; the final decision regarding the cleaning standard rests with your property owner, who reviews the AI-assisted result.
If you disagree with the AI-assisted assessment, you may request a human review by contacting your property owner.
10. Faces and personal items in photos
To protect your privacy and the privacy of others, photos should show the empty, cleaned apartment only. If a photo contains a visible face or other identifying information, the photo will be rejected and you will be asked to submit a replacement. FM does not use facial recognition and does not process biometric data for the purpose of identifying individuals.

11. Changes to this notice
FM may update this notice from time to time. The version applicable to your submission is the version in effect at the time you submitted your data. Previous versions are kept on file by FM for evidentiary purposes.
